Most clients work with us like this:

  1. You call us. We answer your questions and, with your permission, take your name and mobile number. We ask whether we may follow up by text message or WhatsApp and note your answer in your file.
  2. We follow up by text or WhatsApp. We confirm your appointment and send a list of the documents we need.

  5. You authorize filing. You sign Form T183 (or T183CORP for a corporation) and, for Quebec returns, the Revenu Québec authorization (form TP-1000.TR-V for individuals), before we file anything.
  6. We deliver your completed documents securely (see section 7) and keep your file as the law requires (see section 12).

With your authorization, we may also obtain information from the Canada Revenue Agency (CRA) through Represent a Client, from Revenu Québec, or from a previous accountant.

4. How we use your information

We use your personal information only to:

We do not sell, rent or trade your personal information. We do not use it for any new purpose without first telling you and, where required, getting your consent.

With your consent, we may also use your name, date of birth and contact details to send you birthday greetings, tax deadline reminders, important updates and invitations to events (section 6). You can opt out of these at any time without affecting our services to you.

5. Consent

We collect, use and disclose your personal information only with your consent, except where the law allows or requires otherwise.

You may withdraw your consent at any time by contacting us, subject to legal or contractual limits. If you do, we may not be able to complete some services, and we will explain the consequences.

6. Phone, text messages, WhatsApp and email

We use these channels mainly to provide our services to you. We also send occasional greetings and updates, as described at the end of this section.

Phone. Most clients first reach us by phone. We may keep brief notes of calls in your file. During the call, we ask whether we may follow up with you by text message or WhatsApp.

Text messages (SMS). We text you only if you agree. You agree by texting our business number, by telling us on the phone or in person (we note this in your file), or by checking the SMS box on our intake form. Messages are sent one-to-one by our staff to book or confirm appointments, request documents and update you on your file.

Mobile numbers and SMS consent are never shared, sold or rented to third parties or affiliates for marketing or promotional purposes. Text messaging opt-in data and consent will not be shared with any third parties.

We use text messages only for one-to-one conversations about your appointments and your file. We do not send birthday greetings, announcements or promotional messages by text message.

WhatsApp. If you contact us on WhatsApp or agree to use it, we use a WhatsApp Business account to book appointments, request documents and send updates. WhatsApp is operated by Meta and is subject to Meta’s own privacy terms. You can ask us to stop contacting you on WhatsApp at any time.

Email. We email you about your file, using our business email accounts.

Birthday greetings, updates and events. If you agree, we may send you birthday greetings, reminders of tax deadlines, important updates about tax rules or our services, and invitations to events. We ask for this consent separately from your consent to our services, using an unticked box on our intake form or a recorded verbal yes. Saying no has no effect on our services. We send these messages by email or WhatsApp only, never by text message (SMS).

We send these messages in accordance with Canada’s Anti-Spam Legislation (CASL).

Keeping your information safe when you message us:

7. Sending us documents and receiving your completed returns

Documents you send us. You can bring documents to our office or upload them through a secure link we send you. If you choose to send documents by WhatsApp or email, we move them into our secure client file storage and then delete them from the messaging app or inbox.

Completed returns and forms. Your completed returns and forms, such as your T1 or T2 return, Quebec TP-1 or CO-17 return, financial statements, Form T183 or T183CORP and TP-1000.TR-V, contain your SIN, income and other sensitive information. We deliver them to you in one of these ways:

  1. Secure link (our standard method): we send you a link by email, text or WhatsApp. It is protected by a verification code sent only to you, it expires after a set time, and we can cancel it at any time. The link itself contains none of your information.
  2. In person: you can pick up paper copies at our office.
  3. Email or WhatsApp attachment, only at your request: if you specifically ask us to send your documents as attachments, we will do so to the email address or WhatsApp number in your file. Attachments are less secure than a secure link. They can be forwarded, stored on devices, or sent to the wrong person, and we will note your request in your file.

Before sending, we confirm the email address or phone number in your file. We never send completed returns or your SIN in the body of a text message, WhatsApp message or email. We send documents to another person, such as a spouse or representative, only with your authorization.

Signatures. We collect signatures on Forms T183, T183CORP, TP-1000.TR-V and our engagement letter in person or through a secure electronic signature service.

8. Technology and AI-assisted document processing

We use trusted, business-grade cloud services to store client files, send email and messages, and run our office. These providers process information only on our instructions and must protect it with strong safeguards.

We may use AI-assisted tools to read and extract information from the documents you send us, such as tax slips and receipts. This reduces manual typing and errors.

If you prefer that your documents not be processed with AI tools, tell us and we will enter your information manually. You may ask us which service providers we use for your file.

9. When we share your information

We do not sell, rent or trade your personal information. We share it only as follows:

Our service providers are bound by written agreements that require them to use your information only to provide services to us, to protect it, and to tell us about any incident. Meta (WhatsApp) and telecommunications carriers also handle some data under their own terms. We remain responsible for information we give them.

If Wado Tax Service Inc. is sold or merged, client files may be transferred to the new owner, who must protect them under this policy.

10. Storage outside Quebec or Canada

Some of our service providers may store or process information outside your province or outside Canada, including in the United States. Information held outside Canada is subject to the laws of that country and may be accessed by its courts or authorities.

Our office and staff are located in Toronto, Ontario. Personal information of Quebec residents is therefore always communicated to, and processed, outside Quebec. Before communicating it outside Quebec, we assessed whether it would receive adequate protection, as Quebec law requires. Where a provider offers a choice, we select Canadian data storage.

11. How we protect your information

We protect your information with safeguards suited to its sensitivity, including:

No system is completely secure. If a confidentiality incident (privacy breach) involving your information creates a real risk of significant harm, or for Quebec residents a risk of serious injury, we will notify you promptly. We will also report it to the Office of the Privacy Commissioner of Canada and, for Quebec residents, the Commission d’accès à l’information du Québec. We also take reasonable steps to reduce the risk of harm and prevent it from happening again. We keep a record of all confidentiality incidents.

Our internal privacy practices. Our Privacy Officer approves our privacy practices, including staff confidentiality obligations, who may access client files, how long records are kept and how they are destroyed, how privacy requests and complaints are handled, and how incidents are managed. Before adopting a new technology or service provider that handles client information, we assess its privacy risks.

12. How long we keep your information

We keep tax records and supporting documents for at least six years after the end of the tax year they relate to, including to meet CRA and Revenu Québec requirements for Forms T183, T183CORP and TP-1000.TR-V and reassessment periods. We keep them longer if a review, objection, audit or legal matter is ongoing.

Messages about appointments and information about people who do not become clients are kept for up to 24 months, unless the law requires longer. When information is no longer needed, we securely delete, destroy or anonymize it.

13. Your rights

You have the right to:

Send your request in writing to our Privacy Officer (section 18). We respond free of charge within 30 days of receiving it. We will confirm your identity before releasing any information, and we will not give out personal information over the phone or by text without verifying who you are. If the law requires or allows us to refuse a request, we will explain why.

14. Quebec residents

If you live in Quebec, you also have these rights under Quebec law:

The person in charge of the protection of personal information at WadoTax is our Privacy Officer, Mustefa Wado (section 18).

If you are not satisfied with our response, you may file a complaint with the Commission d’accès à l’information du Québec.

Quebec residents can read our full policy in French at wadotax.ca/politique-de-confidentialite. La politique de confidentialité en français est disponible à cette adresse.

15. Cookies

Our website uses essential cookies to work properly. With your consent, we may also use analytics cookies to understand how visitors use the site. Non-essential cookies stay off until you accept them, and you can change your choice or delete cookies in your browser at any time.

16. Children

Our website is not directed at children. We collect information about a child only when a parent or guardian provides it for tax purposes, such as claiming a dependant or a benefit. For a child under 14 living in Quebec, we collect information only with the consent of the parent or guardian. If a minor files their own return, we deal with them directly as the law allows.

17. Changes to this policy

We may update this policy when our services or the law change. The new version will be posted on this page with an updated date. We will tell active clients about significant changes before they take effect.
